We are seeking a dedicated and organised Medical Secretary to join our Practice healthcare team. The ideal candidate will play a crucial role in ensuring the smooth operation of our medical practice by providing administrative support and facilitating communication between patients and healthcare professionals. This position requires a keen attention to detail, excellent organisational skills, and the ability to manage multiple tasks efficiently in a fast-paced environment.

To provide general secretarial support to the practice manager, doctors and health professionals, involving word processing and audio typing skills with general clerical.

You will have substantial secretarial experience, preferably within a healthcare setting.

You will be responsible for delivering a comprehensive and quality secretarial service.

You will undertake a wide-range of duties including receipt and distribution of documents and reports, answering telephone calls, audio transcription, minute taking and the typing of highly sensitive letters, reports and maintaining confidentiality at all times.

The role requires a highly motivated individual with the ability to empathise with a wide range of people including patients.

You will have the ability to work both independently and as part of a wider team that you direct.

Good computer skills, including Microsoft Office, EMIS, Lexacom, DXS, Choose and book, e-Referrals, i-Docs as well as previous secretarial experience and experience in the use of medical terminology are essential and knowledge of house- keeping tasks to support these systems.

Responsibilities

  • To provide an efficient audio, copy typing and word processing service for GPs and health professionals as required. This includes the typing of letters, reports, patient referrals, minutes, memorandums, etc. in an accurate and quality manner.
  • The ability to use standard software packages and to learn bespoke packages if required.
  • To assist the practice manager with all clerical and administrative duties.
  • To make appointments, bookings and admissions as required.
  • To liaise and arrange meetings (to include the booking of rooms) as required and to attend meetings and take minutes.
  • To establish and maintain filing and administrative systems so that written or computer information is easily accessible and secure.
  • To retrieve medical records and assist the completion of medical/insurance records.
  • File patient records and correspondence in patient medical records.
  • To receive incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries.
  • To maintain the computer clinic system in an accurate and secure manner.
  • To assist with the gathering of statistics and information when required.
  • To provide cover for members of the secretarial team during periods of sickness and annual leave.
  • In liaison with the clerk responsible, maintain adequate supplies of office stationery in order to perform secretarial duties.
  • To receive and dispatch mail and maintain a pending system.
  • Provision of general secretarial support to the practice manager, doctors and health professionals

Experience:

  • Previous experience in an administrative or office role is preferred.
  • Familiarity with medical terminology and healthcare procedures is advantageous.
  • Proficiency in using office software applications (e.g., word processing, spreadsheets).
    Strong communication skills, both verbal and written.
  • Ability to work independently as well as part of a team.
  • Excellent time management skills with the ability to prioritise tasks effectively.

Pay: £12.50-£13.50 per hour
