This is an exciting opportunity for a receptionist to join our friendly GP Practice with 4 Partners and list size of just over 10,000 patients. The ideal candidate will be friendly, caring and professional with good people skills. Experience of working as a receptionist is preferable but not essential, as full training will be given.
The position is for 15.5 hours per week, to cover the following shifts:
Monday 1.30pm - 6.30pm
Tuesday 7.45am - 1.00pm
Wednesday 7.45am - 1.00pm
Additional hours may be required to cover annual leave and sickness on a weekly basis, so flexibility is important.
Job summary:
The purpose of the role is to provide a high quality, professional reception and administrative service to patients, doctors, staff, colleagues, health service professionals and others. To act as the first point of contact for patients when contacting the Practice, and to project a positive and friendly image, and to ensure that enquiries from patients are efficiently and courteously handled to the mutual satisfaction of the staff and patients.
Duties and responsibilities:
The duties and responsibilities to be undertaken by members of the Practice Reception team may include any or all of the items in the following list. Duties may be varied from time to time under the direction of the Reception Supervisor/Practice Manager, dependent on current and evolving practice workload and staffing levels:
Opening up/locking up of practice premises and maintaining security in accordance with practice protocols
Processing telephone requests for appointments, visits and telephone consultations, and ensuring callers are directed to the appropriate healthcare professional
Book in, amend and cancel patient appointment in line with practice appointments procedures
Ensure that patients without appointments but who need 'urgent consultations’ are booked into appropriate slots and referred to a GP where necessary
Taking messages and passing on information
Filing and retrieving paperwork
Initiating contact with and responding to requests from patients, other team member and associated healthcare agencies and providers
Keeping the reception area tidy and free from obstructions and clutter
Order ambulances as requested.
Monitoring of eConsult system when the administrator is unavailable and requesting District Nurse referrals
Contacting patients with test results
Use of Accurx – Text messaging system
Provide patients with information as required.
Report to colleague taking over reception duty on any issue not complete e.g. requests for home visits not passed on to doctor.
Receive and distribute incoming post/deliveries. Inform addressee of arrival.
Checking daily emails and action.
Any other duties relevant to post.
